Database Management System

Code 402, Class 10. A database keeps data neatly in tables. Here we meet records and fields, keys, and how to enter, find and print data.

What this chapter is about

A database stores related data in tables. A DBMS is the software that manages it. Each table has records (rows) and fields (columns).

1. Tables, records and fields

A table holds one kind of data, such as students. A record is one row (one student), and a field is one column (name, marks). Each field has a data type, such as text or number.

2. Keys and relationships

A primary key is a field whose value is unique for each record and identifies it. A relationship links two tables using a shared field, such as a class table linked to a student table.

3. Forms, queries and reports

A form makes it easy to enter data. A query finds the records you want, for example students who passed. A report presents the data neatly for printing.

Practice set A, multiple choice

1. One row of a table is a …

record.

2. One column of a table is a …

field.

3. Which field uniquely identifies a record?

The primary key.

4. Which object finds the records you want?

A query.

Practice set B, short answer

1. What is the difference between a record and a field?

A record is one row (one entry); a field is one column (one detail).

2. What is a primary key?

A field whose value is unique for each record and identifies it.

3. What is a form used for?

To enter and view data easily.

Quick summary

A database stores related data in tables, managed by a DBMS. A record is one row and a field is one column, each with a data type. A primary key uniquely identifies each record, and a relationship links two tables by a shared field. A form enters data, a query finds records, and a report presents data for printing.
